Sales Quote | Approval process from Sales Quote to confirmed

Overview

This enhanced Sales Quote feature is a configurable add-on that allows bookers or designated contacts to directly approve quotes from an email or via the website. Once approved, quotes convert into confirmed bookings, trigger booking workflows, and reflect on schedules and reports.


🔧 Feature Availability & Configuration

This feature must be enabled by your CourseCo account manager as it is an add-on.

Sales Quote bookings can be created via:

  • The Website – when someone completes a Sales Quote booking form online

  • The Admin Interface – when a team member manually creates a Sales Quote booking

You can configure the approval link to be sent to either:

  • The Booker

  • The Primary Contact


📧 Email Workflow

1. Sales Quote Confirmation Email / Reminder

  • Automatically includes a Click to Approve Sales Quote button.

  • Sent to the configured contact based on setup (booker or primary contact).

2. Click to Approve Experience

When the contact clicks the Approve Sales Quote button, they are taken to a secure Sales Quote Approval Page.

Approval Page Includes:

  • Booking Summary:

    • Course Name

    • Start Date – End Date

    • Total Price

  • Mandatory Fields:

    • PO Number (Purchase Order)

    • Approver Email

Approval is only completed once both fields are completed and submitted.


📆 Booking Status Flow

Stage

Description

Sales Quote Created

Whether via website or admin panel, it appears in the Bookings List as Type: Sales Quote.

Delegate Status

Delegates do not take up capacity. Places are not held.

Sales Quote Approved

Once approved via the link + form:

➤ Status

Changes from Sales Quote to Confirmed

➤ Automations

Triggers standard Booking Confirmation email/workflows

➤ Schedule

Delegates are now shown on the Schedule and take up capacity

➤ Financials

Triggers Outstanding Balance and/or Invoice, if configured


📊 Reporting

Booking Approval Status Report

Available under Reports > Booking Approval Status, showing:

  • Approval Status:

    • Approved

    • Declined

    • Pending

  • Approver Email

  • Date & Time of Approval


✅ Key Points to Remember

  • Available for website bookers and admin-created bookings.

  • This is not a confirmed booking until approved via the email link.

  • PO Number & Approver Email are required to complete approval.

  • Delegates do not occupy capacity until approval.

  • Admins can track status and history through the Booking Approval Status report.
