User guide: Test Sales Quote email + document attachment

This guide explains how an admin can test the Sales Quote email to confirm the Sales Quote document attaches correctly and contains accurate data.

Purpose

To verify that a Sales Quote booking triggers a Sales Quote email, that the Sales Quote document is attached to that email, and that all key data fields in the document populate correctly.

Prerequisites

  1. A valid test customer email inbox or access to the in-app messaging queue to review outbound messages.

  2. Sales Quote email template configured and enabled in the system.

  3. Sales Quote document template configured to generate as a file attachment (for example, PDF).

Method A: Create Sales Quote booking via website

  1. Log in to the test website environment using a test user account.

  2. Navigate to the Sales Quote or booking flow on the website.

  3. Create a new Sales Quote booking using test customer details, including a test email address that you can access.

  4. Submit the Sales Quote booking and confirm that the booking is successfully created in the system.

Method B: Create Sales Quote booking via back office

  1. Log in to the back office as an admin.

  2. Navigate to the booking creation screen.

  3. Create a new Sales Quote booking, entering the same type of test data used for website tests, including an accessible test customer email address.

  4. Save the Sales Quote booking and confirm that the booking status indicates it was created successfully.

Option: Test both website and back office flows

To fully validate behaviour, repeat the test in both channels:

  1. Follow Method A to create and submit a Sales Quote via the website.

  2. Follow Method B to create and submit a Sales Quote via the back office.

Confirm that each method independently triggers the Sales Quote email and attachment as expected.

Confirm Sales Quote email and document attachment is correct

  1. In the Sales Quote email, review the email populated and locate the attachment section and confirm that a Sales Quote document is attached.

  2. Verify the file name follows the expected naming convention, for example, including the quote number or customer name where configured.

  3. Confirm that the file format matches your configuration, such as a PDF document.
